General Summary:

Function as maintenance management administrator and support reliability efforts through document creation, approval and work order management. Generates and manages complex technical written communications used for projects assigned to department. Projects may include equipment installation, validation, technical manuals, process specifications, drawings, forms, etc. 

Duties & Responsibilities:

  • Performs technical writing, research, and editing functions to prepare protocols, specifications, reports, manuals, memos, presentations, guidelines, and other written materials. 
  • Prefer experience in using electronic documentation systems to submit documents for approval
  • Knowledge of MICROSOFT WORD essential for writing and editing documents
  • Knowledge of POWERPOINT, EXCEL, VISIO, and rendered drawings 
  • Maintains database of documents in various states of submission for each  engineer
  • Ability to work with minimal supervision in editing and submitting documents for approval in electronic document management system
  • Verifies facts and clarifies information as needed. 
  • Ensures company publications meet established standards of style, format and business standards.
  • Reviews photographs, drawings, sketches, diagrams, and charts selected for specific publications to ensure relevance to content. 
  • Suggests format, layout and graphics for materials reviewed. 
  • Works with Manufacturing and Engineering to produces rough draft of revised versions and submit edited documents for approval
  • Demonstrate competencies in the terminology of the functional processes
  • CMMS Administrator responsibilities
  • Create/issue machine control numbers
  • Set-up preventative maintenance procedures in system
  • Manage criticality assessment list
  • Create and route documents (FMECA’s, drawings, etc.) for approval in electronic document control system
  • Coordinate the planning and scheduling of Maintenance department in a manner that will maximize maintenance performance, minimize cost and maintain quality standards.
  • Responsible for Preventive Maintenance system
  • Dispatching maintenance calls
  • Assign account number for work orders
  • Maintain data from Service Notification Cards 
  • Assisting office associates with administrative task
  • Responsible for Work Order planning
  • Responsible for analyzing repair activities
  • Administrative duties for engineering group
  • Responsible for buying departmental supplies
  • Summarize and report Daily Response Time of Facilities Mechanics
  • Process equipment information as requested for various reports
  • Meet with auditors concerning PM records during routine and FDA audits
  • Excellent customer service, interpersonal, communication and team collaboration skills are essential.Follow current compliance regulations and standards.
  • Comply with all federal regulated programs.
  • Adhere to FDA quality and worldwide quality systems.
  • May occasionally provide some administrative support to a given department

  • High school diploma 
  • 2+ years administrative support experience (preferred)
  • Computerized Maintenance Management System, reliability, maintenance experience preferred
  • Full knowledge of technology and/or computer literacy
  • Basic math skills: Add, subtract, multiply, divide, percentages
  • Problem solving ability
  • Basic or advanced computer and database management skills
  • Excellent communication and interpersonal relation skills
  • Statistical and analytical problem solving.
  • Prefer knowledge of lean manufacturing and manufacturing processes such as Just in Time (JIT), KANBAN, Pull Systems.
  • Excellent skills in Excel, PowerPoint, charts, graphs, and other systems as required, etc.)
